A roofing business moved from a personal Hotmail address to email on its own domain, set up so it gets delivered and can’t easily be spoofed, with the website’s quote form sending through it.
The problem
A roofing business was handing out a personal Hotmail address on its website and its quotes. It looked less established than the business was, and anyone could send email that looked like it came from them, because nothing told the world which mail was really theirs.
What I did
I moved the business onto email at its own domain and set it up properly.
- Set up Microsoft 365 mailboxes on the business’s own domain.
- Added the records that tell other mail servers which email is genuine: SPF, DKIM and DMARC, with DMARC reports collected so problems show up before anything is blocked.
- Connected the website’s quote form to send through a verified sender, so quote requests arrive and don’t land in spam.
- Replaced the old address everywhere it appeared: every page of the website, and the details search engines read.
What changed
- Customers see one consistent business address.
- Quote requests arrive in the business’s own mailbox.
- Mail pretending to be the business is easier for receiving servers to spot and reject.

- MX, SPF, DKIM (both selectors) and DMARC in report-only mode, reports collected
- Quote form mail through SMTP2GO with the domain verified as a sender
- Next step: move DMARC to quarantine once the reports are clean
